North Florida Land Trust is seeking a dependable, detail-oriented Administrative & Bookkeeping Assistant to help keep our operations organized, accurate, and responsive. This part-time role supports the behind-the-scenes systems that allow NFLT staff to focus on protecting North Florida’s natural lands, wildlife habitats, working lands, and waters for future generations.
Position Details
- Position Type: Part-Time, Non-Exempt
- Compensation: $17.00–$20.00 per hour, depending on experience
- Schedule: 20 hours per week
- Work Arrangement: Hybrid, with both in-office and remote work
- Reports To: Operations Manager
Schedule
In Office: Monday and Thursday, 10:00 a.m.–3:00 p.m.
Remote: Tuesday and Wednesday, 10:00 a.m.–3:00 p.m.
Occasional schedule adjustments may be made based on organizational needs and in coordination with the Operations Manager.
What You’ll Do
In this role, you will help keep NFLT’s administrative and financial systems organized, accurate, and up to date. Responsibilities include:
Administrative Support
- Provide administrative assistance to the Operations department in support of organizational operations.
- Assist with preparing correspondence, reports, forms, and other documents.
- Maintain electronic and physical filing systems.
- Manage data entry and records management activities.
- Coordinate meeting logistics and maintain calendars as needed.
- Monitor and respond to routine administrative inquiries.
- Assist with office supply inventory and ordering.
- Support organizational projects and special assignments.
- Help maintain organizational policies, procedures, and compliance documentation.
Bookkeeping and Financial Administration
- Enter and maintain financial data within accounting software and spreadsheets.
- Assist with accounts payable processing, including invoice tracking and documentation.
- Assist with accounts receivable recordkeeping and payment tracking.
- Organize and maintain financial records and support documentation.
- Reconcile receipts, invoices, and expense records.
- Assist with monthly financial record reviews and reporting preparation.
- Support audit preparation and financial file management.
- Maintain accurate grant and project-related financial documentation.
- Assist in tracking budgets, expenditures, and financial obligations.
Operational Support
- Support day-to-day office operations and organizational workflows.
- Maintain organized records in accordance with nonprofit best practices.
- Assist with grant, contract, and program documentation.
- Support staff with administrative and operational needs, as assigned.
- Perform other duties as assigned to support NFLT’s mission and operations.

Required Qualifications
- High school diploma or equivalent.
- Minimum of one year of administrative support experience.
- Basic bookkeeping or financial recordkeeping experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently in both office and remote environments.
Preferred Qualifications
- Associate degree in business, accounting, administration, or related field.
- Experience working in a nonprofit environment.
- Experience with QuickBooks or similar accounting software.
- Familiarity with grant-funded organizations and financial documentation requirements.
- Experience supporting audits, financial reviews, or compliance activities.
